1099 Preparation

Year-end 1099 preparation and filing for your contractors and vendors, accurate and on deadline. For businesses that handle their own contractor payments during the year and just need the January filings done right.

What This Is

If you paid contractors, freelancers, or certain vendors $600 or more during the year, you probably owe them a 1099. Specifically a 1099-NEC for nonemployee compensation. The IRS requires you to report these payments, and the recipients need copies so they can file their own taxes. ClearLedgers® prepares and e-files these forms on your behalf, delivering recipient copies electronically when email is available.

This service is for businesses that already handle their own contractor payments throughout the year. You manage the relationships and cut the checks. When January arrives, ClearLedgers steps in to prepare and file the forms correctly and on time. No ongoing engagement required, just accurate year-end filings.

The Forms

ClearLedgers prepares 1099-NEC forms for your contractors and vendors based on the payment records you provide. Forms are e-filed with the IRS, and you receive payer copies for your records. Recipient copies are delivered electronically where email addresses are available, or we coordinate with you on delivery.

The Timeline

1099-NEC forms are due to the IRS and to recipients by January 31. That means you need to start gathering your records early in January to allow time for preparation and filing. ClearLedgers will work with you to identify who needs a form and ensure everything is submitted before the deadline.

Why This Matters

The IRS takes 1099 compliance seriously. Penalties for late filings start at $60 per form if you file within 30 days of the deadline. After that the penalty increases to $130, and forms filed after August 1 carry a $330 penalty per form. Intentional disregard of the filing requirement means $660 per form with no cap. For a business with a dozen contractors, even a minor delay can mean real money.

The scramble usually happens in late January. You realize 1099s are due, then realize you never collected W-9s from some of your vendors. Now you are chasing people for their tax IDs and legal names while the deadline approaches. Some vendors take days to respond. Some never do. The whole process becomes stressful because it was left until the last minute.

Penalties Add Up

A business paying fifteen contractors could face $900 in penalties for filing a month late. File after August and that number jumps to nearly $5,000. These penalties apply per form, so the cost scales with the number of contractors you pay. Getting it right the first time is far cheaper than fixing it later.

Missing Information

You cannot file a 1099 without a complete W-9 on file. If you never collected one from a contractor, or if the one you have is outdated, you are stuck chasing paperwork in January. Best practice is to collect a W-9 before you pay anyone for the first time. If that did not happen, the year-end filing becomes harder.

What Changes

ClearLedgers reviews your records, identifies who qualifies for a 1099 based on payment amounts and entity type, prepares the forms, and files them with the IRS before the deadline. You provide the payment data and any W-9s you have on file. ClearLedgers handles the rest. When filing day comes, you are not scrambling. The forms are accurate and submitted on time.

If you find yourself wanting more support throughout the year, there is another option. Contractor Payments and 1099s includes monthly payment processing for up to 20 contractors, W-9 collection and maintenance, ongoing tracking of who will need a 1099, and the year-end filing itself. For businesses that want to hand off the whole process rather than just the January piece, that service covers the full cycle.

Accurate and On Time

The forms are prepared correctly and filed before the January 31 deadline. You get confirmation when filings are accepted and copies for your records. No penalties for late submission. No stress about whether you did it right. Just one less thing to worry about during an already busy time of year.

Year-Round Support Available

If tracking contractor payments and collecting W-9s throughout the year sounds better than a January scramble, ClearLedgers offers a monthly service that handles it all.
