I run payroll through Gusto or ADP already. What could go wrong that I would not notice?

Gusto and ADP are reliable platforms that will execute payroll accurately based on how they’re configured. The key phrase is “based on how they’re configured.” The platform doesn’t know if the configuration is correct. It just does what it’s told.

General ledger mapping is a common problem. When payroll posts to your accounting software, each line item maps to a specific account. If the mapping is wrong, your books show incorrect amounts for wages, employer taxes, or withholdings. Your small business bookkeeping won’t match reality, and you probably won’t notice until you try to reconcile payroll at year end and the numbers don’t tie out.

Unemployment tax rates are another quiet failure. States update these rates annually, usually in January. Your platform doesn’t automatically know your specific rate. You receive a notice from the state with your new rate, and someone has to enter it into the system. If that notice gets overlooked, you pay at the wrong rate all year. Overpay and you’re out cash flow. Underpay and you owe back taxes with interest.

Benefit withholdings drift when plans change. When health insurance premiums change at renewal, 401(k) contribution limits update, or an employee modifies their elections, the withholding amounts in the payroll system need to match. If the system withholds $200 for health insurance but the actual premium is $225, that $25 gap adds up every pay period. By year end, either the employee owes money or you’ve been covering the shortfall without realizing it.

New hire setup errors create problems for employees. Every new hire fills out a W-4 and state withholding forms. If those get entered incorrectly, the employee owes taxes at filing time or gets a surprise refund because too much was withheld. They’ll blame payroll. Incorrect local tax setup in cities with earnings taxes creates compliance issues you won’t see until the city sends a notice.

State and IRS notices themselves are a failure point. When something is wrong, tax agencies send notices by mail. They arrive at whatever address is on file, which may not be current. They sit on someone’s desk. If nobody opens and acts on them, penalties and interest accumulate while the platform keeps running like nothing happened.
