Payroll Oversight
Expert support for businesses that run their own payroll but need help making sure it's done right. You keep control of processing while ClearLedgers handles the complexity.
What This Is
ClearLedgers® Payroll Oversight is for businesses that run full-service payroll through ADP, Gusto, QuickBooks Desktop or Online, or SurePayroll but do not have deep payroll expertise in-house. You or your platform handles the actual payroll runs. ClearLedgers makes sure everything is set up correctly, recorded properly in your books, and stays compliant throughout the year.
This is different from Full-Service Payroll, where ClearLedgers takes over payroll processing entirely. With Payroll Oversight, you keep control of running payroll. What you get is an expert watching over the whole function to catch problems before they become expensive and answer questions when they come up.
What Gets Covered
What Gets Covered
Mapping payroll earnings, deductions, taxes, and employer contributions to your general ledger. Employee onboarding and offboarding in your system, including pay rates, tax elections, direct deposit, and benefit elections. Filing new hire and termination reports with the state. Calculating and maintaining benefit withholdings. Reviewing unemployment tax rates each year.
Ongoing Support
Ongoing Support
Investigating and responding to IRS or state notices. Troubleshooting payroll questions when they come up. Communicating with your payroll provider on your behalf when authorized. Year-end payroll review reconciling wages, taxes, and benefits before W-2 and W-3 filings go out.
Why This Matters
Payroll software does a lot of the work, but it cannot tell you if something is set up wrong. It will not notice that a new employee’s tax elections are missing or that a benefit withholding stopped calculating correctly after a rate change. It just runs whatever you tell it to run. And when something goes wrong, the IRS sends the notice to you, not to your software provider.
Most small business owners learn payroll by doing it, which means learning by making mistakes. Those mistakes show up as unexpected tax bills, penalty notices, frustrated employees who got the wrong amount on their paycheck, or a year-end scramble when W-2s do not match payroll records. By then, fixing it costs more than getting it right would have.
The Bookkeeping Problem
The Bookkeeping Problem
Payroll touches your books every time it runs. If payroll is not mapped correctly to your general ledger, your financial statements are wrong. Wages, taxes, and employer contributions all need to land in the right accounts. Otherwise, your profit and loss statement lies to you and your tax preparer gets bad data.
The Compliance Problem
The Compliance Problem
New hire reports, benefit withholdings, unemployment tax rates, and year-end filings all have rules and deadlines. Miss one and you might not find out until an IRS notice arrives months later. By then, penalties have accumulated and the original mistake is harder to trace.
What Changes
You still run payroll. You still use the platform you already have. But now someone with real payroll experience is watching the whole system. New employees get set up correctly the first time. Benefit withholdings stay accurate when rates change. Your books reflect payroll accurately every single month. And when an IRS notice shows up, you hand it off instead of panicking.
Year-end stops being stressful. Before W-2s go out, ClearLedgers reconciles wages, taxes, and benefits to make sure everything matches. If something is off, you find out in time to fix it. If you want to talk through your options for setting up payroll from scratch, Payroll System Setup handles the initial configuration before ongoing oversight begins.
Someone to Ask
Someone to Ask
Payroll questions do not wait for convenient times. When you need to know how to handle a final paycheck, what happens when an employee moves to another state, or why the numbers look different than last month, you have someone to call. No searching online forums or hoping the software chat support understands your situation.
A Clean Handoff to Your CPA
A Clean Handoff to Your CPA
When tax season arrives, your tax preparer needs payroll records that tie out. Wages, taxes withheld, employer contributions, and benefits should all match between payroll reports and your books. With Payroll Oversight, they will. Your CPA gets clean data, and you avoid the back-and-forth of reconciling discrepancies under deadline pressure.
